What is carry forward leave

 

As an admin, you are able to customize and set your company’s carried forward leave policy.

You can set up carry forward leaves for an existing leave policy or by creating a new leave policy.


Note: 

You will need to complete the set-up of carry forward leaves before the year ends. Here will let you know where to find settings for carry forward leaves.




Situation 1: Your company does not allow your employees to carry forward Annual Leave to the following year


In this case, you would need to Disable the 'Carry Forward Leave' settings in altHR. 

  1. On the left panel of your admin dashboard, head to Leaves > Policies.

  2. Select Annual Leave, and click Edit


  1. Next you can go straight to the carry forward section of the Leave Policy by clicking on 5. Carry Forward. 

  2. Under ‘Enable Carry Forward Leave Settings, Select 'No'.



Ensure that your employees utilise all Annual Leave days before the year ends.

Take note that any unutilised Annual Leave days will be forfeited


 



Situation 2: Your company allows employees' to carry forward their Annual Leave to the following year


You have two options:

(1) Set up automatic carry forward

(2) Manually carry forward by adjusting each employee's Annual Leave based on your company's policy and needs



Automatic Carry Forward:

  1. On the left panel of your admin dashboard, head to Leaves > Policies.

  2. If you do not already have an existing Annual Leave Policy, you would need to set up your Annual Leave Policy. Otherwise, select Annual Leave, and click Edit




  1. On the left of the section, click Carry Forward.

  2. Click Yes to enable carry forward leave settings.



  1. Select Automatic Carry Forward Leave


Note: You can choose to carry forward unutilized Carry Forward Leaves or Replacement Leaves to next cycle on leave balance page. This will be covered in Step 8.

 

  1. Set the carry forward limit for the employees:

  1. If your company has only one limit that applies to all employees, select To All Employees and key in a limit. This means, if you set 8 days, all employees regardless of their years of experience, positions or job bands will be able to carry forward 8 days to the following year.





  1. If your company has different limits for different groups of employees, select Based on Entitlement Table and key in the limits based on the entitlement criteria that you have set. For example, you may set that employees with 5 years of experience and above to carry forward 24 days where employees with less than 5 years of experience to carry forward 18 days to the following year.   



  1. Select when you would like Carry Forward leaves to expire. Here are 3 available options:

Option 1: If your company allows employees to utilise their carry forward leave for the whole year, select At the end of the next leave cycle.



Option 2: If your company allows employees to utilise their carry forward leave before ONE expiry date (e.g. all carry forward leaves must be utilised before 30 June), select At a certain date in the next leave cycle. Select the expiry date and select No for tiered basis.




Option 3: If your company allows employees to utilise their carry forward leave before different expiry dates (e.g. 4 carry forward leave days must be utilised before 31 March, and 4 carry forward leave days must be utilised before 30 June), select At a certain date in the next leave cycle and select Yes for tiered basis. Set the number of days and expiry dates.


    


Once set, the employees’ carry forward leave days will expiry accordingly and automatically based on your setting.



8. You will also have the option to enable Carry Forward of:

  • Unutilized Carry Forward Leave from current year
  • Unutilized Replacement Leave from current year

Select them if these apply. They will be regarded as Carry Forward Leave once carried to the following year and the expiry dates that you have set above will apply to them too.


Note: When employees apply for next year’s leave in current year, after crossing to next year, leave application will first deduct from their Carry Forward Leaves before it deducts their yearly leave entitlement.

9. Click Confirm once you are done with the setting.




Manual Carry Forward:


  1. Repeat Step 1 to 3 above under Automatic Carry Forward.

  2. Select No under Enable Carry Forward Leave Settings.


  1. On the left panel, head to Leaves > Balances.

  2. Click More Actions and select Carry Forward under the drop down.




  1. Select the employee names or position titles that you want to apply the same carry forward leave settings.

  2. Key in the days of unutilised days that your company allows them to carry forward to the following year.

  3. Select the Annual Leave policy that applies.



8. Similarly, there are 3 available options for expiry date setting. Please refer to step 7 under Automatic Carry Forward.


9. You will also have the option to enable Carry Forward of:

  • Unutilized Carry Forward Leave from current year that expires at the end of the cycle to the following year
  • Unutilized Replacement Leave from current year that expires at the end of the cycle to the following year


Select them if these apply. They will be regarded as Carry Forward Leave once carried to the following year and the expiry dates that you have set above will apply to them too.


  1. Click Confirm once you are done with the setting and this setting will apply to the employees you have selected.
