What is Rostering
The Rostering Module is used for admins to create weekly Shift Rosters for their employees to know what shifts they have for the week, sign up for shifts, and if desired, clock in and out of their shifts. There are a few ways Rostering can be used:
- As a shift schedule - For example, you are running a restaurant with two employee shifts, one in the morning and one in the evening OR day schedules, Schedule A (Monday, Wednesday and Friday) and Schedule B (Tuesday, Thursday and Saturday). You are able to set up rosters like these.
- As a Business Continuity Plan - For example, you have to limit the number of people in the office building to promote safe physical distancing, you can have team A and team B that will come into the office on different days or weeks.
When setting up shifts as an admin, you are able to turn on a setting that allows team members to apply for a shift. Shift managers can then simply approve or reject such applications.
To create shifts in rostering:
1. On the left panel of your admin dashboard, head to Rostering > Teams
2. Click on a team.
3. Select the month and week you want to create a shift for.
4. Click Add Shift.
5. Set start and end time.
6. Toggle Yes if you would like this shift to be copied to other days. You can choose between
a) Repeat Type: This Week, where you can select other days in the week to copy the shift to
b) Repeat Type: Custom - Day, where you can have the shift repeat every day and select an end date where it stops repeating.
c) Repeat Type: Custom - Week, where you can select the days in a week to copy the shift, and select an end date where it stops repeating
7. Toggle Set Number of Slots per shift? switch ON (green) to set a minimum number of slots and maximum number of slots available for that shift
8. Toggle Allow employees to select shifts? switch ON (green) to allow employees to sign up for a shift from their mobile or web app.
9. Confirm by clicking Confirm.
To edit shifts in rostering:
1. On the left panel of your admin dashboard, head to Rostering >
2. Click on a team.
3. Clock on Shift Settings
4. Select the required Date Range
5. Click on a shift.
6. You may adjust the shift time, toggle on minimum or maximum number of slots per shit, and toggle on if employees can sign up for this shift or not (making it an Open Shift)
7. You may also edit the list of employees currently in this shift.
8. Select from the list of available employees to add them to this shift, or unselect those already assigned to this shift.
9. Confirm by clicking Confirm.
