What is Employee Profile
Each employee hired into your altHR account will have an Employee Profile - this is their employee database. This Profile includes their Employment information such as position details and join date, as well as any personal, contact, compensation and identification details pertaining to the employee.
How to Manage Employee Profile
Admins are able to Manage Employment Information - Read How to Manage Employment Information in Employee Information
Admins are able to View and Edit details in the Employe Profile -The Employee Profile will contain an employee's Details, Employee's Contacts, Compensation Information, Family and Beneficiaries Information and Other information. In this Article we will explore how to view and edit Employee Details in the Employee Profile
To View Employee's Profile
- Head to People > Employees
- Select Active Employees tab
- Type in the employee's name in the search button
- Click the Action button to drop down the available actions for the employee
- Select View Profile
Family and Beneficiaries
Admins are able to record the employee's family and beneficiaries information. These are the recipients of any benefits, compensation or income related to the employee, such as medical or financial coverage for family members throughout the employees course of employment, or financial provision in the case of disability or death.
Spouse Details
1. To add Spouse Details to employee profile, select Spouse Details > Create New
2. Input Spouse Details as below:
- Legal Name
- Relationship
- Contact Number
- Gender
- Birth Date
- Birth Country
- Primary Citizenship
- National ID
- Passport number (if applicable)
- Issuance Country (of National ID)
3. Input Spouse Statutory Details as below
- EPF Number
- Income Tax Number
- Income Tax Branch
4. Select If spouse is currently using Old Identity Number, Fill in the number if applicable.
5. Select 'Is Employed' if employee's spouse is currently employed.
6. To add address details of spouse, select Spouse Address
7. Fill in spouse Address Details as below:
- Address Type. Choose between Mail or Home address type
- Input Address Line
- Select Country, state, City and Postcode
8. Select Confirm to save address.
Dependents Details
Admins can record the details of any dependents of the employee. This includes only children and parents of the employee. These details can then be applied in other modules of altHR such as in the Flexi Benefits Module.For example, when creating a Benefits Selection that can be applicable to dependents.
1. To add new dependents, select Dependents Details > Create New
2. Fill in Dependents Details as below:
- Full Legal Name
- Relationship to employee. Choose between Child or Parent of the employee
- Email and Contact Number
- Gender of dependent
- Birth date
- Birth country
- Primary Citizenship
- National ID
- Passport (if applicable)
- Issuance country (of National ID)
- Marital status of dependent
- Employment status of dependent
- Check box if dependent is a disabled person.
3. To add address details of dependent, select Dependent Address
4. Fill in spouse Address Details as below:
- Address Type. Choose between Mail or Home address type
- Input Address Line
- Select Country, state, City and Postcode
5. Select Confirm to save address.
Beneficiary Details
Admins are able to record the details of an employees beneficiaries. These are the individuals who would receive compensation or income benefits in the case of disability or death of the employee.
1. To add a beneficiary, select Beneficiary Details > Create New
2. Select the Relationship of the beneficiary to the employee. Choose between members of family and friends or others
3. Input beneficiary's Full Legal Name
4. Input beneficiary's Email and Contact Number
5. Input the beneficiary's gender
6. Input the beneficiary's Primary Citizenship
7. To add address details of dependent, select Dependent Address
8. Fill in spouse Address Details as below:
- Address Type. Choose between Mail or Home address type
- Input Address Line
- Select Country, state, City and Postcode
9. Select Confirm to save address.
