This article will guide you on all the steps to complete before running your first payroll at PayrollPanda. It is mandatory to complete all 6 steps listed below to ensure a seamless and accurate Payrun at PayrollPanda.

Step 1: Get your unique API Key and Secret Code


  1. On you altHR admin dashboard, click on PayrollPanda > Sign Up
  2. You'll be directed to the Initial Setup page to create and connect your PayrollPanda account to altHR.
  3. Click on the link to open up a new tab to create your PayrollPanda account.

  4. Head to PayrollPanda > Settings > Integration > API Keys to copy the Client ID.

  5. Paste the Client ID at altHR > PayrollPanda tab > 1. Payroll Panda Credentials > Client ID.

  6. Head back to PayrollPanda and click on Rotate Secret / Generate Secret > Click on Confirm > Copy the secret key.

  7. Paste the Secret at altHR > PayrollPanda tab > 1. Payroll Panda Credentials > Client Secret

  8. Click on Complete & Next. 

Step 2: Company Details Sync at altHR

Information that will be synced from altHR to PayrollPanda in the Company Sync:

  1. Company Profile
  2. Office details
  3. Organizations/ Departments from altHR to PayrollPanda. 

If the above items have not been updated at altHR, please do so before initiating the sync.

  1. On your altHR admin dashboard, head to PayrollPanda tab > 2.Company Details.
  2. The Company Information form will be pre-filled if you've updated your Company Profile.

  3. Click on Complete & Next to sync.

Step 3: Employee Details Sync at altHR

This step will sync some of the basic details of your Active Employee from the altHR People Module over to PayrollPanda.

Important: Before initiating the Employee Details Sync, please ensure that you have imported and updated all employee details at altHR. If you have not done so, you may find these articles helpful:


  1. On your altHR admin dashboard, head to the PayrollPanda tab > 3. Employee Details

  2. Click on Export Employee Data to download an Excel sheet.

    Review all data within the Integrated Fields tab. These are the employee data that will be synced over to PayrollPanda.

  3. If you'd like to update or make changes to any of the employee details before the sync, head to altHR > People > Employees to update individually. 

    OR, you can head to People> Import/Export > Bulk Update to bulk update the employee details. [Read more on: How to Bulk Update Employees' Details]

  4. Click on Sync Employee Details to initiate the Employee Details sync to PayrollPanda. Do not refreshthe page while the sync is still running. 

  5. Click on Complete & Next once the sync is complete.

  6. If the Employee Details sync has partially failed, an error report will be auto-downloaded. Refer to the report for the next action needed. 

  7. You can head to altHR > People > Employees, OR, People> Import/Export > Bulk Update to update the missing information before initiating the sync again.

Step 4: PayrollPanda Account and Payroll Settings Update

Important: This step is extremely important to ensure an accurate pay run later on.

It's a MUST to review and update all Payroll Settings and Account Settings at PayrollPanda before running your first payroll.

  1. Login to both your PayrollPanda and altHR Admin Dashboard.

  2. Head to altHR > PayrollPanda Tab > 4. Payroll Details. 

  3. Here, you will find the 7 steps that you'll need to review and update at PayrollPanda. Hover over the orange "i" icon for more information. 

  4. Click on each step to be directed to the specific section at PayrollPanda. 

  5. Once you've completed all 7 steps, Tick the Acknowledgement box and click on Complete & Next

Step 5: Employee Payroll Details Bulk Update at PayrollPanda 

In this step, you will be updating all Employees' Payroll Details that are not synced over to PayrollPanda.

It's important to update all items listed below before running payroll to ensure accurate payroll calculation:

List of non-integrated fields 

Important: Any changes to these non-integrated fields will be updated and maintained at Payroll Panda each time before you run payroll (and when you have new hires).


The PCB and EPF contributions will be automatically validated and assigned at PayrollPanda based on the worker's Age, Worker Status, Nationality, and PR Status 

Worker Status(es):

  • Intern - If this is selected, the worker will NOT be subject to EPF, SOCSO, and EIS, but the internship allowance may be subjected to PCB (if above the threshold). Interns are included in the E/EA forms.

  • Iskandar Knowledge Worker - Refer to this article for more info on the Qualification and Tax Incentives for this category

  • Returning Expert Programme - Refer to this article for more info on the Qualification and tax rates.

  • Self-Employed - If this is selected, the worker will NOT be subject to statutory contributions (PCB, EPF, SOCSO, and EIS), and they will NOT be included in the E/EA forms generated at PayrollPanda.

A) Update Employee's Payroll Details Individually:

  1. Head to PayrollPanda > Employees > Click on the Employee to edit.

  2. Under Personal Information, update the Ability Status, Marital Status, and Dependant Children.

  3. Under the Employment Information, update the Salary/Wage and Worker status. 

  4. Under Statutory Information, update the EPF Voluntary Rate if any. [Note: EPF Contribution and Rate will be automatically assigned based on Age, Worker Status, Nationality, and PR Status]

  5. Under Recurring Payroll Items, you can set which pay items to be automatically included for this employee in every payroll run. 

  6. Click on Save once you've reviewed and updated the employee's Payroll Details.

B) Bulk Update Employee's Payroll Details at PayrollPanda

  1. On your PayrollPanda Core Account, head to Employees > Bulk upload > Edit Employees

  2. Click on Download Sheet.
  3. Fill in the non-integrated fields/columns (fields that are NOT highlighted in grey). 

  4. Once done, save or export the template in ".csv" format.

  5. Click on Upload Data to bulk update the employee's Payroll Details.

C) Bulk Edit Employee's Previous Payslip Data

If your first payroll run in PayrollPanda is after January payroll, you will need to enter any current year previous payslip data for salaries paid by your company for each employee before running payroll to ensure accurate PCB calculations and complete E/EA forms.

You can add the previous payslip data individually in each employee’s profile, or you can use the bulk upload function to update the data for multiple employees.

Step 6: Run Payroll

Once you've set up all your employee and payroll details as per Steps 1 to 5 above, your PayrollPanda account is ready for you to run your first payroll!
